COVID-19 has caused worldwide disruption on a scale we haven’t seen since the Spanish Flu in 1918. The pandemic has undoubtedly brought many changes in the way things are carried out economically and forced new norms to be adapted when it comes to physical interaction.

As we’re nearing a post-COVID-19 world, hosting meetings, events, conferences or workshops will require significant adjusting, even more so on planners and venue hosts. It will take a shared effort for everyone to take the necessary safety precautions before inviting the idea of in-person meetings again in this new COVID-19 era. Here are our thoughts on how events and conferences will look like in a post-COVID-19 world.

Safety First

Until a vaccine is deployed, we the society must be responsible for carrying out safe practices to limit the spread of the coronavirus. 

For event planners and event space hosts, this means: 

  • Temperature checks on guests before entering the event space
  • Mandatory requirement to wear a surgical or N95 mask
  • Frequent sanitisation of the event space and most importantly,
  • Practising social distancing.

At Colony, some of the safety measures that we have implemented are temperate screenings, conducting frequent sanitisation of our spaces, especially in high traffic areas and placing hand sanitisers and anti-bacterial wet wipes at common areas.

Preparing Food & Beverages

Self-serving buffets will likely not be available for some time to come, as we need to minimise physical contact (sorry buffet lovers). 

Options such as seated dining are available. However, it can be costly as you’ll need extra staff trained in sanitisation and food-handling. If food is a must to serve during your event, a safer approach would be to hand out pre-packed meals where attendees can pick it up themselves, or have it placed at their seats before the event starts. This would ensure minimal contact, compared to attendees gathering around the buffet area getting food from one place. 

The diners will also have to be placed further apart for social distancing measures.

Limiting Attendees

With social distancing, many venues will not be able to accommodate the same number of attendees as before. Seating arrangements will have to be placed to comply with social distancing measures set by local health authorities.

To ensure everyone that visit out spaces are practising social distancing, we’ve configured the room and seating arrangements of our space from our meeting rooms to our lounge area by placing our furniture 1 metre apart from each other. 

The Rise of Webinars

With a bundle of restrictions imposed on in-person meetings, many events will also resort to hosting their seminars, workshops, or conferences virtually. We’ve observed other companies such as SONY using event spaces to host product launches entirely virtually. Companies planning to launch new products using event spaces may resort to these measures as an alternative.
